POSITION Staff Scheduler
EMPLOYMENT TYPE Part Time or Full Tim if needed
WORK HOURS (SHIFT) Monday-Friday 10: 00AM to 4: 00PM
STARTING PAY $21.00-$24.00/hr DOE

REQUIRED EXPERIENCE 2 years of previous experience

The scheduling coordinator is responsible for maintaining the schedule for selected teams and to ensure that all locations are adequately staffed for every shift, identifying areas for improvement in scheduling functions, and team member satisfaction with their schedule

  • Maintain the master schedule and assure daily needs are met, as well as addressing and resolving long term trends in case load
  • Maintain accurate schedules and rotations for all DVM, ER and Specialty Medical Support teams and Client Support team members
  • Develop, maintain, and enforce scheduling prioritization rules, processes, and tools to manage staffing needs at all clinic locations
  • Maintain on-call calendars
  • Approve time off requests as appropriate and/or be available to work with managers to accommodate time off requests
  • Assist managers with filling of open shifts due to call outs and FMLA related absences
  • Establish cross-functional collaborative partnerships with all levels of leadership to create schedules and plans that allocate available team members to best serve our clinic, patient, and client needs
  • Utilize staffing tools and data points, to make informed decisions about staffing requirements
  • Identify opportunities for flexible staffing based on business trends. Make recommendations for cross-training to better utilize resources
  • Create and develop reports that verify work hours to schedule hours to monitor employee attendance and overtime. Work with managers to determine patterns in overtime that may be suggestive of additional staff and scheduling solutions to eliminate excessive overtime
  • Alert directors and managers on potential openings or positions to aid in staffing needs
  • Track key data points to determine patterns in heavy caseloads that may be suggestive of additional staff and scheduling solutions to balance the tech to case intensity ratios
  • Weekly audit of client service and medical support team member timecards to ensure proper department and incentive codes have been applied
  • Monitor break schedule and confirm team

  • Two years of experience
  • Veterinary experience a plus
  • Prior experience in management preferred
  • Computer proficient
  • Multitasking with the ability to prioritize as needed
  • Outstanding organizational skills
  • Managing processes
